The Marketing Administrator at one or our clients recently needed to send an announcement to all their customers. She knew the best way to communicate quickly would be through a mass email, so she needed a current email list to import into their email marketing solution.
Picking the appropriate fields from the Customer shortcut, she exported the contacts to Excel, checked her data and was ready to go. The up to date listing of customer names and email addresses was available to her in minutes. Simple, easy, fast.
In the most recent update of ClickBase, we’ve included parameters that allow the user to pass data to the Select statement without the field being associated with any table in the Select Statement. These parameters are sometimes called Colon Parameters because they require a leading colon character at the beginning of the fieldname.
The first step in creating a Colon Parameter is to go to the Shortcut Group Administration and click on the Control Center Shortcut. A list with one item should appear on the right. Double click on the item System Administration
Next, click on the List tab and select the Code Tables icon. On the right, in the tree view, there is an item called Datasets. Click on the plus(+) sign next to the word Datasets, and the item Parameter Types will appear below Datasets. Click Parameter Types and then click the Add button. Enter a Name, Description, Data Type and Type. For the name, enter a descriptive name of the field without the colon and leave Type as default. Click on the diskette icon to save this Parameter Type.
The next step is to add this parameter as an Input Parameter to the dataset. Either open an existing Dataset or create a new Dataset. With the Dataset open, click on the Parameter tab. In the Input section, click on the Add button and enter the information for the Colon Parameter. In the Name field enter a descriptive name for the parameter. Then, in the Type field, locate the Parameter Type you created in the Control Center. The Field Name will be the parameter name with a colon at the beginning (example – :Month). In the Default field, enter a value you know will work in the query so that you can test your parameter in the dataset.
The last step is to modify your Select statement. The following are Select statement examples with the Colon Parameter:
Select custnbr, custname, totalpaid, invoicedate from invoice where month(invoicedate) = :Month and year(invoicedate) = :Year
Select custnbr, custname, totalpaid, invoicedate, :Month as invmonth, :Year as invyear from invoice where month(invoicedate) = :Month and year(invoicedate) = :Year
Once you have modified the Select statement, click on the diskette icon to save your changes. Click on the Preview tab at the bottom and then click on the Execute button. It will now run with the Default values in the Colon Parameter fields.
You can also add this in the SQL Builder but to test it save the SQL Builder changes and then run it by clicking the Preview and Execute button.
The second sample Select statement allows you to include the parameters you selected as fields in your Shortcut. This is very useful in spreadsheet view as you can display the fields as the headers or use this data to calculate other cells in the spreadsheet.

Existing shortcuts can be easily duplicated using the Create Shortcut menu option. Leverage the work you’ve already done to save views you have created, and build customized reports without altering the original.
After you click on a shortcut, go to the TOOLS | CREATE SHORTCUT menu option. Select the option to Create A Shortcut Copy and click NEXT. Enter a new name for the shortcut, select the shortcut group in which it will appear, select an appropriate icon from the drop down list, and set the default layout. The result will be an exact copy of the original shortcut.
*Bonus: * If you made any layout changes prior to creating the new shortcut, the layout changes will be saved with the new shortcut.
Double Bonus: If the original shortcut had a filter window attached, the new shortcut will use the same filter window provided you did not apply any conditions prior to creating the new shortcut.

Mandatory, Global parameters can be used to control what users see when they log in.
When a global parameter is set up as mandatory, users must set a value for that parameter when they log into ClickBase. Used in conjunction with a drop down list and the constant, THE_USERS_NAME, the mandatory, global parameter is another way to provide row-level security on your queries.
The first step would be to define a lookup list that uses THE_USERS_NAME to control the content of the list:
SELECT territory_cd
FROM territories T, user_territories UT
WHERE T.territory_cd=UT.territory_cd AND UT.user=‘THE_USERS_NAME’
The list of territories would be limited to only those mapped to the user logged into ClickBase. The global parameter would be set up as a string lookup with the IsMandatory property set to True. When users log in, they will receive a prompt for the Territory and they must select from the values available in the drop-down list.

Serigraph, a versatile producer of unique decorating solutions for products and displays, was faced with a difficult dilemma. Based on older technology, Serigraph’s ERP solution adequately supported their business transaction processing but did not provide access to information. Extracting data in a timely and economical manner was impossible.
Implementing a new ERP system was considered, but the process would be too expensive and disruptive to operations. Instead, Ben Bender, IT Director, set about finding a tool that would replace the reporting capabilities in the ERP. While he needed a powerful system, it also had to be easy for end-users to get the information they needed with little support from IT. Serigraph’s IT department was very lean and already fully committed.
After evaluating several options, including maintaining their existing installation of Cognos, Ben selected ClickBase. ClickBase provides the data retrieval Serigraph needs with very little effort by IT. Ben is currently training a part-time intern to provide technical support to the users of ClickBase.
Serigraph’s first phase was to implement ClickBase to replace all the financial reporting being done through the ERP system and with Excel. The ClickBase Financial Report Writer now enables Serigraph to generate all their financial reporting and to provide drill down to the transaction level.
The second phase of the implementation provided senior management with more complete and timely information. As Ben says, “We get better decisions based on better information.” Based on the success to date, senior management supports the rollout ClickBase on a broader scale and is coaching the staff to make full use of its power.

ClickBase can capture the user’s login name to be used in datasets. This opens the door for row-level security based on who is logged into ClickBase. A special constant called THE_USERS_NAME will be replaced by the name of the user currently logged in. In a dataset, this constant will most likely be used in the WHERE clause of the SQL statement:
SELECT * FROM customers WHERE salesperson=’THE_USERS_NAME’
In the above example, the login names should be the same as the sales person code used in the ERP system. ClickBase will substitute THE_USERS_NAME with the login value resulting in a secured list displaying only the customers assigned to that salesperson.

William (Bill) Mills serves as Chairman of the Board of Directors and CEO of ClickBase Corporation, and provides broad business expertise gained from many successful, entrepreneurial ventures. Previously, Mr. Mills was President and COO of Software Business Technologies, Inc., known as SBT Accounting Systems, a developer and distributor of open-source accounting systems for the mid-market with a network of over 3,000 resellers.
In 1996, Mr. Mills merged his software-consulting firm, PSI Systems of Atlanta, GA, which provided business automation and accounting software and services for wholesale distributors, with SBT. From 1996 to 2000, he doubled the revenue of SBT, both organically and through acquisitions. In July 2000, SBT was acquired by ACCPAC International, a division of CA, Inc. and after the transition period, Mr. Mills resigned to spend full-time on his various investment opportunities.
Mr. Mill’s connections within the U.S. venture capital and investment banking communities facilitated ClickBase’s entry into the U.S. market place. He lives with his wife, Launi, in Palm Coast, FL, just south of ClickBase’s U.S. headquarters in Jacksonville.
As the founder and President of ClickBase Corporation and principal architect of the ClickBase Business Intelligence tool, Mr. Ingebrigtsen has a wide range of experience in business management, sales and software design and development. He is uniquely qualified to act as the liaison between management, sales, marketing and development.
He developed his first IT solution in 1984 at the age of 12. In the late 80’s, he was responsible for several business systems at Statoil, Norway’s largest oil company. Subsequently, he developed applications for NorConsult, a multi-national software company. He founded ClickBase in 1997.
He serves on the incubator advisory board at the Norwegian School of Management and several boards of directors. He has co-founded several ventures in Scandanavia including QuestBack.com which has operations in 25 countries.
Since 2002, Joe Hess has managed all technical aspects of ClickBase Corporation’s operations in the U.S. He is responsible for creating and maintaining the technical configurations of ClickBase, and also architects the many vertical solutions offered by ClickBase in the U.S. market place. In addition, he maintains the ClickBase IT infrastructure and provides pre-sales technical expertise and post-sales consulting and implementations, thereby contributing directly to revenue generation.
Before joining ClickBase, Mr. Hess owned and operated a software consultancy, Enterprise Application Solutions, in Phoenix, AZ, where he provided technical support, training, and customization of enterprise-level business solutions since 2000.
Previously, Mr. Hess was Director of Software Engineering for the Professional Services Division of ACCPAC International, Inc., developing open-source accounting solutions for customers and partners. He gained most of his relevant experience with Micro Accounting Systems as a Software Solutions Developer from 1996 to 1999, where he provided customizations of open-source business solutions, on-site and remote support, and training to customers.
